Performax is where evaluation is created – Probationary evaluation for nonregular employees, Quarterly evaluation for all employees, and (Currently Hidden) Supervisor 360 evaluation for supervisors and managers. Custom evaluation is now added as a new feature to allow super admin to generate custom evaluation for specific employees, this can be used for monthly evaluation, annual evaluation, etc.

Performax Super Admin
– Super admin has the ONLY capability to generate evaluation, view and generate assignments, add and remove evaluator per employee, complete evaluation, view and filter previous evaluation results, and delete previous evaluation results.
– Super Admin can also evaluate employees that are assigned to him for evaluation and see the sign off lists of all employees.

1. Create and Manage Evaluation

User Level: Super Admin
  • Inactive Supervisor Warning Message
    – This message will show in super admin Performax if there’s an inactive supervisor that is assigned as supervisor in any employee.

  • Create new Evaluation
    – Super admin can generate a new evaluation by navigating to create new evaluation period and select the evaluation type, Quarterly (1st, 2nd, 3rd, 4th), Probationary, Custom, and Supervisor 360 evaluation.

Selecting an evaluation type with an existing evaluation result will show an error message with a hyperlink to previous evaluation results.

  • Assign Evaluators
    – Before successfully generating an evaluation, the super admin can drag and drop additional evaluators to every employee in addition to their existing supervisors as evaluators.
    – After the evaluators are assigned, clicking the preview assignment button will open a preview evaluator tab.
    – Custom evaluation however follows a different process, as soon as the evaluation type is selected, Super Admin needs to select one or more employees to evaluate, assign the evaluation name, and then that’s when Super admin can start assigning the evaluators.

In Preview Evaluators Page, click the “Generate Forms” button to generate the Evaluation Forms.

Running evaluations will display like the image below. The super admin can mark the evaluation as complete once all evaluations are done.

2. Performax Evaluation

User Level: Super Admin, Admin, Supervisor, Employee

– Super Admin, Admin, Supervisor, and Employee have the capability to evaluate employees that are under their supervision
– Super Admin, Admin, Supervisor, and Employee can also download their previous evaluation result by clicking the download button shown under “My Previous Evaluation Results”.

3. Sign Off Feature

  • The sign-off feature in the super admin page shows whether the evaluation is already signed off by the employee or not.
  • The Sign Off? column displays “YES” if the employee already downloaded his evaluation result and clicked “Accept” from the pop-up window that shows before the download starts.
  • The pop-up window for acknowledging the evaluation result will only show on the first download. It should not appear the next time user tries to download his evaluation result.

Idea Space

Access Level: SuperAdmin, Admin, Supervisor, Employee

Idea Space is where the users can submit and view submitted ideas. Anyone can grab an idea to implement but only the admin can mark the idea as implemented and assign points to the employee that submitted the idea and grabbed the idea to implement.

  • Idea Statistics
    – Idea statistics shows the total number of ideas submitted, the Pending, Approved, Grabbed, Implemented and Discarded,
  • Filter
    – Filtering is available to quickly view ideas submitted by users. You can filter by Employee or Idea Status.
  • Search
    – Ideas can be searched according to the name of the one who submits the idea, Idea name, and Value
  • + Add New Idea
    – Submitting new ideas can be done by clicking the +Add New Idea button found on the upper-right of the Idea Space page.
    • Title – This is a required field and should contain the title of the idea
    • Values – This is a dropdown list that contains the values that the idea will impact.
    • Process Area – This is also a dropdown list that contains the list of departments
    • Details – This is a text field where you can describe the value of your idea or provide more details of that is the idea all about.
    • Attach document – This is optional. This allows you to upload an attachment that is related to your submitted idea. The attached document can be downloaded by clicking the attachment shown in the submitted idea.
  • View my ideas
    – To view all your submitted ideas, click the view my ideas button beside the +Add New idea button.
  • My Ideas Page
    – This page contains all your submitted ideas. This is where you can also edit and delete your ideas.
Manage ideas
  • Approve and Discard Ideas
Access Level: SuperAdmin, Admin ONLY

– Only super admin and admin have access to approve and discard submitted ideas. This can be done by clicking the idea title and under change status dropdown, select either to approve or discard the idea.
– Approved idea will be available for all employees to grab to implement.

  • Grab to Implement
    – Any user within the organization has the chance to grab any approved idea to implement.
  • Please note that only approved ideas can be grabbed.

  • Mark as implemented
    – Once the idea is implemented, super admin and admin can now mark the idea as implemented. Points will be given to the employee who submitted the idea and the employee who grabbed and implemented the idea.

    *Notes: When you changed the implemented ideas to another status, the credited points to the creator and implementer will no longer be removed.

  • Idea List View
    • Title – this contains the title of the idea
    • Submitted by – Show the first name and the last name of the user who submitted the idea.
    • Status – this column shows the status of the idea. It can be Pending, Approved, Discarded, Grabbed, and Implemented.
    • Value – This field displays which value the employee selected upon submission.
    • Process Area – This field displays which department the employee selected upon submission. This field is blank when the selected department is deleted.
    • Upvote – anyone can vote for an idea by clicking the thumbs up icon, except for their own submitted idea.
    • Points Received – This displays the points received on the implemented idea.
    • Date Submitted – This displays the date of when the idea was created.
    • Last Modified – This displays the date of when the idea was last edited.
    • Action – Implemented and discarded ideas can be deleted by clicking the delete icon on this column.

  • Import Ideas
    – Super admin and admin can import bulk idea. The .xls/.xlsx template is available for download and can be used to bulk import.

Rewards Hub

Rewards Hub page is where super admin and admin add rewards catalogue to auction where employees can purchase and put down bids to win the items.

Rewards Hub Features

  • + Add New Item
    – Can add a new item (premium or auction). Upon adding the item you input the following: 
    • Name of the item 
    • Details (specification, origin, etc)
    • Choose an option if the item is premium or auction. Premium items are items that an employee can directly redeem w/o going through any bidding as long as points acquired reaches the value of the item. 
    • Choose an image of the item.

  • Search and Filter
    – A dynamic filter and search box is also available for easier viewing.

  • Export Reward Items
    – Clicking the export button exports all the rewards item available on the page

To perform the import of Rewards Hub, you can do either of the 2 to download the CSV file template: 

  1. Download the CSV file template by clicking the import button, then the “Download the template here” in the Rewards Hub page.
  2. Click the export button in the Rewards Hub page to export the existing rewards catalog and use the file as a template. 

Rewards Hub Fields:

Name: This is a required field – leaving this blank will not import the items on the file successfully. 

Details: This is good to have but not required. Users can input the rewards detail or leave it blank. 

Is Premium: You can either input YES if it’s a premium item, or NO if it’s not. Not inputting details on this field is okay, but the system will automatically consider your answer as NO when imported. 

Points to Redeem: “Points to Redeem” field is only required when you input “YES” under the Is Premium field. Else, you can leave it blank. If this field is blank, the system considers the value as “0”.

Status: You can leave the status blank, all imported items will be considered as “NEW” items. 

Note: Rewards Hub import does not allow updates of existing items. If the user uploads the same data, the system will create it as NEW items.

  • Edit and Delete Reward
Access Level: Super admin, Admin

Super admin and admin can edit/delete items (premium/auction). Name and details can be changed, item type and rewards photo can also be changed.

The delete can also be accessed by clicking the edit icon, then scroll to the bottom of the dialog box.

  • Start and Stop Auction
Access Level: Super admin, Admin

Super admin and Admin can start and stop the auction. Auction is based on a top bidder algorithm with an increasing minimum bidding rule.

To auction and item, click the “Auction this Item” button, set the bidding time which is required to be in the future and then click “Yes”

Clicking the “View Bidders” button opens a dialog where all bids are shown.
Clicking the “Stop Auction” will stop the Auction and the highest bidder wins the item.

  • Bid on items
Access Level: Supervisor, Employee

Once the item is now auctioned, Supervisor and employee can now place their highest bid to win to the item. the Bid dialog shows the current bids and who’s the current highest bidder to beat.

  • Redeem Premium Item
    Unlike non-premium items, you can directly redeem premium items without waiting for it to be auctioned. Once the item is redeemed, it can’t be redeemed again.

Gems

Gems is where super admin and admin create and edit Gems to be awarded to employees. It can be a positive or negative Gems.

Gems Features

  • Search and Filter
    – Search and filter made available for easier searches and viewing of Gems.
    – The filter can be done by types (positive/Negative), Status (Active/Inactive), and Frequency (Weekly, semi-monthly, Monthly, Quarterly, Semi-Annually, Annually).
  • + New Gems
    – To create a new Gems, super admin or admin has to put the following details: 
    • Name of the Gems
    • Description (What is the Gems means and how to be eligible)
    • Type of Gems (Will identify on how the Gems will impact to the employee: Positive or Negative)
    • Frequency. Gems can be awarded accordingly: 
      • Weekly
      • Bi-monthly
      • Monthly
      • Quarterly
      • Semi -annual
      • Annually
    • Choose a colored and gray photo of the Gems

  • View all Gems awardees
    – Clicking the “View Gems Awardees” opens a new tab where all Gems awardees are displayed.
    – Admin can filter according to Gems or employee’s name.

Clicking the edit icon opens a dialog where super admin and admin can edit and disable a Gems . Disabled Gems can’t be awarded to users anymore.

  • Award Gems
    – Clicking the award button assigns the Gems directly to the employee(s). Superadmin and admin can select multiple employees that can be awarded a Gems.

  • Notes can be added by the super admin and admin with the following details:

  • The Notes created are shown to all users.

Documents

Access Level: SuperAdmin
Super Admin_ Documents

Documents Module is only available in SuperAdmin. In this feature, Super Admin can upload one or more files of each employees.

Documents’ Features

Search and Filter: These features allow super admin to search and filter the documents display per employee.

Upload Documents: Super Admin can upload documents with the following file types:

  • .jpeg
  • .jpg
  • .png
  • .doc
  • .docx

The maximum file size should be not more than 2MB.

Analytics

Analytics page is created to help super admin track the total number of users currently signed to the platform and also the number of time they’ve access the platform.

This page shows the Names, the email addresses, the employment status, the date the user last login and the number of times the user logs in the system.

It also shows the analytics of the average number of users that access the sites based on the selected date in the filter.

Settings

Access Level: Super admin ONLY

Settings > Branding
– Under Settings > Branding, the super admin can upload the company logo and favicon, set the platform’s color, and add a task management tool (optional).

– Super admin is the only one who has the ability to add and delete department under settings Menu.

Settings > Idea Values
– Super admin is the only one who has the ability to add and delete value under settings Menu.

Settings > Metrics
– Super admin can set the start date of the IPS Metrics schedule. It is very important that the start date set in here is after the end date of the current weekly metrics schedule set to avoid mess up with the data. This will act as a reset function to the existing schedule.
– By ticking the “Send an email reminder to your employees every metric schedule”, the system will send notification emails to all users involved.

– Super admin can customize the leaderboard tier names by simply adding the tier in order under this page.
– User can also delete and edit the created tier by clicking the icons shown on the page.

Announcements

Announcement feature allows the SuperAdmin and Admin to add, edit and delete announcements.

Supervisor and Employees only have the viewing capability.

The latest announcement will be displayed in all user’s dashboard.
